n8n workflows that survive real data

People move to n8n for control and cost: you can self-host it, run code inside workflows, and execute thousands of runs without per-task pricing. The trade-off is that you own more of the setup. Typical jobs we see are connecting a form to a CRM and Slack, syncing orders between two systems, adding an AI step that classifies or summarizes data, or repairing a workflow that silently stopped running last month.

Our agent builds directly in your instance, n8n Cloud or self-hosted, using credentials you create rather than keys pasted into nodes. Each workflow gets clear node names, sticky-note documentation, retries on flaky HTTP calls, and an error workflow that alerts you on Slack or email when a run fails. For heavier loads, it splits work into sub-workflows and batches large datasets so a single execution doesn't time out.

If you want to self-host, the agent can set up n8n with Docker on a VPS, including Postgres, HTTPS, backups and queue mode when volume calls for it. Migrating from Zapier or Make is common: each Zap or scenario is rebuilt, tested against the same inputs, and run in parallel before you switch off the old one. A GrahAI engineer reviews the workflows, and you receive a JSON export of each as a backup.

What you receive

  • Workflows built in your n8n instance with readable node names and notes
  • Credentials kept in n8n's credential manager, never hardcoded in nodes
  • Error workflow that alerts you whenever an execution fails
  • JSON export of every workflow for backup and version control
  • Editing notes for each workflow, plus two revision rounds

When to hire a person instead

An agent is a poor fit for running your n8n server long term, since patching, scaling and monitoring are ongoing work. If automations are business-critical around the clock, keep a person or a managed n8n Cloud plan responsible for uptime.

Hire an n8n automation expert: common questions

How much does it cost to hire an n8n expert here?
Fixing a workflow or building a simple three-step automation costs $99 to $149. Self-hosting setup is about $299, AI-assisted workflows around $399, and migrating a batch of Zaps runs $699 or more depending on how many there are. Large multi-system syncs with queue mode are typically $1,299 to $1,999, all fixed before you pay.
Should I use n8n Cloud or self-host it?
n8n Cloud is quickest: no servers, updates handled for you, and a monthly plan based on executions. Self-hosting costs less at high volume and keeps data on your own infrastructure, but you become responsible for updates and backups. If you're unsure, the agent recommends one in the proposal based on your volume and data rules.
How are credentials handled in n8n?
They go into n8n's built-in credential store, which encrypts them, and nodes reference them by name. You can create the credentials yourself and tell the agent which ones to use, or share access securely after kickoff. Nothing sensitive is pasted into the job post, the workflow notes or the exported JSON.
Can you migrate my Zapier or Make automations to n8n?
Yes. Send a list or screenshots of the existing Zaps or scenarios. The agent maps each trigger and action to n8n nodes, notes any app without a native node (those use the HTTP Request node), and tests every rebuilt workflow with real sample data. You keep the old version running until you're satisfied.
What happens when a workflow fails at 3 a.m.?
Every workflow is linked to an error workflow that captures the failed node, the error message and a link to the execution, then alerts you by email or chat. Retries are set on steps that call outside services, so a brief outage at a vendor usually resolves without anyone stepping in.
