Zaps that run cleanly and don't waste tasks

Zapier connects thousands of apps, so most requests are about doing it well rather than whether it's possible. Common jobs include routing new leads from Facebook Lead Ads or a website form into a CRM without duplicates, creating invoices when a deal closes, posting order alerts to Slack, and building approval flows with Paths. Equally common: a tangle of Zaps nobody fully understands that occasionally sends duplicates or stops without warning.

Our agent works in your account using the connections you authorize, so nothing ends up owned by a third party. It places Filters early to avoid spending tasks on records that don't matter, uses Formatter steps for dates, phone numbers and names, Paths for branching logic, and Storage or a lookup table to prevent duplicates. Where an app lacks a trigger or action, it adds a Webhooks by Zapier step or a short Code step.

Task usage drives your Zapier bill, so the delivery notes show roughly how many tasks each Zap uses per run and per month at your volume. If your automations have outgrown Zapier's pricing, the agent will tell you plainly whether n8n or Make would be cheaper, and quote that migration separately. A GrahAI engineer checks each Zap's run history after the test runs, before you are asked to sign off.

What you receive

  • Zaps built and switched on in your Zapier account
  • Naming convention and folders so each Zap's purpose is obvious
  • Test runs with sample data, verified in Zap history
  • Task-usage estimate per Zap at your current volume
  • Short written guide to every Zap, with two revision rounds

When to hire a person instead

An agent is a poor fit for automations that must process thousands of records an hour or hold complex state, which Zapier itself handles poorly. For those, a custom integration or an n8n setup, scoped separately, is usually the stronger route.

Hire a Zapier expert: common questions

How much does it cost to hire a Zapier expert?
Fixing one Zap or building a simple two- or three-step automation costs $99 to $149. Multi-step Zaps with branching or approvals run $299 to $399, and a full account cleanup or rebuild usually starts at $1,299 depending on how many Zaps you have. Your Zapier subscription is separate and stays in your name.
Why does my Zap keep creating duplicates?
Usually because the trigger fires more than once for the same record — an updated row, a re-submitted form, a webhook retry — and the action always creates instead of searching first. The fix is a find-or-create step, a Filter on a unique ID, or a Storage lookup. The agent finds the cause in your Zap history before changing anything.
Do I need a paid Zapier plan?
Multi-step Zaps, Paths, premium apps and faster polling need a paid plan, and the free tier caps monthly tasks. The proposal states which plan the build requires. If a cheaper plan would cover it with a small design change, the agent points that out so you aren't upgrading for a single feature.
Can you work on Zaps someone else built?
Yes. Invite us to your Zapier team or share access securely after kickoff, never by posting a password. The agent reads each Zap's steps and run history, documents what it does, and fixes or restructures it without breaking anything that other Zaps depend on.
Should I switch from Zapier to n8n or Make?
Not necessarily. Zapier is the easiest to maintain for non-technical teams and has the widest app list. If you are paying heavily for high task volume, or need loops and bulk data handling, Make or n8n can cost far less. The agent will compare them honestly when you ask and quote any migration as its own job.
